Overview
The Effi Document Analyser automatically validates client-uploaded documents for accuracy, completeness, and compliance. Once triggered, it checks for:
- Expiry dates
- Required time periods
- Correct document types
- Applicant matching
- Naming convention compliance
Validated documents are automatically renamed and filed into SharePoint according to your broker group’s structure.
This improves document quality, reduces follow-ups, and ensures proper storage.

Summarised document rejection email
Overview: When one or more documents are rejected, applicants now receive a single summary email listing all rejected documents within a 30-minute window — instead of receiving multiple individual notifications. This gives applicants a clear, actionable list to re-upload from.
How it works
- A document is rejected (by a broker, vendor, or AI reviewer).
- A 30-minute window begins. Any further rejections within this window are added to the same batch.
- After 30 minutes, a single summary email is sent to the applicant listing all rejected documents.
- The applicant clicks the link in the email to go directly to the document portal and re-upload.
- If a new rejection occurs after the 30-minute window closes, a new window begins.
How It Works
- Client or broker uploads documents into the deal.
- Broker clicks Run Document Analyser.
- The analyser evaluates each file based on:
- Document type
- Description
- Required date range
- Applicant assignment
- Expiry

Setup & Configuration
4.1 When the Analyser Runs
Two options are available:
- Run when the full document pack is 100% complete, or
- Allow brokers to run manually at any time
4.2 Rule Configuration
Rules can be customised per document category:

4.3 SharePoint Setup
Confirm the following:
- SharePoint integration is active
- Folder structure is configured
- Naming conventions are set
- Auto-rename feature is enabled
Uploading Documents
Documents can be uploaded via:
- Client Portal
- Broker Portal
Document statuses update automatically as files are added.
Running the Document Analyser
- Open the Deal.
- Navigate to the Documents tab.
- Click Run Document Analyser.
The analyser will:
- Validate documents
- Apply rules
- Flag issues
- Auto-rename valid files
- File them into SharePoint
