Overview
Following recent feedback, we have introduced improvements to the Documents Collection experience to ensure clearer consent capture and better visibility around TFN deduction decisions for both customers and brokers.
These updates improve compliance, transparency, and auditability of TFN-related actions within the platform.
I. TFN Deduction Consent Reminder
Case:
Previously, TFN deduction consent was not explicitly captured during document collection, which could lead to uncertainty around whether customers had acknowledged or agreed to TFN deduction requirements.
Enhancement:
A TFN deduction consent reminder pop-up has been added to the Documents Collection step.
Customers must explicitly select 'Yes' or 'No' before they can proceed.
Selecting Yes:
Displays the button to continue
Allows customers to access and upload the document requested
Selecting No:
Still allows customers to continue
Records that the TFN deduction consent was declined
If a customer revisits the Documents section, the consent prompt will appear again, and the latest response will be logged.
II. Enhanced Activity Logging in the Broker Portal
Case:
There was limited visibility for brokers around when and how the TFN deduction consent was provided or declined.
Enhancement:
The broker portal activity log now records TFN consent actions with full detail, including:
Consent decision (Yes / No)
Confirmation of TFN deduction status
Date and time (currently recorded in AEST)
IP address
This ensures a clear audit trail for compliance and reference purposes. Feedback has been requested on the wording used for declined consent entries to ensure clarity and accuracy.
III. Improved Visibility for Customers
Update:
In addition to internal logging, TFN consent behaviour and messaging are now designed to be visible to customers, ensuring they clearly understand and acknowledge their TFN deduction decision rather than it being handled only behind the scenes.
