Overview
To help protect client privacy, notes and communications are no longer automatically visible to Referrers and Partners.
When creating a Task, Note, or Message, brokers can now choose whether the item should be shared with the Referrer and/or Partner by selecting the relevant Show to... option before saving.
This ensures only intentionally shared communications are visible in the Referrer or Partner Portal.
How it works
When adding a Task, Note, or Message to a lead:
- If the lead has a Referrer with Portal access, a Show to Referrer checkbox will appear.
- If the lead has an attached Partner, a Show to Partner checkbox will appear.
- If both are attached, both options will be displayed, allowing you to choose who can view the communication.
The checkbox label will display the recipient's name where available, for example:
- Show to Jane Smith
- Show to Johnny Broker
Only items with the corresponding checkbox selected will be visible in the Referrer or Partner Portal.

Note: Emails do not currently include a Show to Referrer or Show to Partner option and are not displayed in either the Referrer or Partner Portal.
Updating visibility
After a Task, Note, or Message has been created, users can still:
- Edit the communication
- Change its visibility to Referrers or Partners
- Hide or unhide it from the Portal
- Delete it (subject to permissions)
Any changes to visibility are reflected in the Referrer and Partner Portal.
Example
If a lead has:
- Referrer: Jane Smith
- Partner: Johnny Broker
When creating a note, you'll see:
☐ Show to Jane Smith
☐ Show to Johnny Broker
You can choose to:
- Share with Jane Smith only
- Share with Johnny Broker only
- Share with both
- Keep the note internal by leaving both options unchecked
Important
The Show to Referrer and Show to Partner options are only displayed when:
- The lead has a Referrer with Portal access, and/or
- The lead has an attached Partner.
If neither exists, no sharing options are shown.
