Syncing your email with Effi lets you send emails to your clients from your own business email address and keep your correspondence in one place. This article shows you how to connect your email for the first time, check that it's syncing, and re-sync it if it stops working.
Before you start
- Who can do this: any broker or team member with a broker portal login. Each person syncs their own email from their own profile.
- Supported accounts: Google (Gmail / Google Workspace) and Microsoft (Outlook / Microsoft 365).
- Permissions: when you connect, you'll be asked to let Effi see and download your contacts and send emails on your behalf. Email sync won't work unless you allow both.
You'll need: your email login details (and your phone, if your account uses two-step sign-in) and about 5 minutes.
At a glance
Go to Profile, turn on email sync under Contact Information, sign in to your email account and allow access. Once connected, Effi shows This e-mail is currently in sync. next to your email address.
Step 1: Open your profile
- Log in to the Effi broker portal.
- Select your profile picture in the top-right corner (1).
- Select Profile (2).
Step 2: Connect your email account
- Under Contact Information, find your email address and switch the toggle underneath it from OFF to ON.
- In the Connect E-mail Account window, enter the email address you'd like to sync in Your E-mail and select Connect Account. Emails you send to clients from Effi will come from this address.
- Choose Continue with Google or Continue with Microsoft, then sign in to your email account.
- When asked, allow Effi to:
- See and download your contacts.
- Send emails on your behalf.
Please note: if you don't allow both permissions, your email sync won't work. If you skipped one, follow Step 4 to re-sync and allow both.
Step 3: Check your email is syncing
- Back on your profile, check the Contact Information section:
- Synced email (1): your email address now shows This e-mail is currently in sync. with a blue cog next to it.
- Send e-mails to client from my business account (2): make sure this is ON (green) so client emails go from your own address.
- Send a test email from a lead in Effi to confirm everything is working.
Step 4: Re-sync your email (if it stops syncing)
If emails have stopped syncing, or you're having trouble sending or receiving from Effi (for example, after changing your email password), reconnect your account.
- Go to Profile (see Step 1).
- Under Contact Information, select the blue cog next to your synced email address.
- In the Connect E-mail Account window, check the address in Your E-mail (1), then select Remove Account (2).
- Switch the email toggle back ON, enter your email address and select Connect Account.
- Sign in to your email account and allow both permissions, as in Step 2.
- Check your profile shows This e-mail is currently in sync. and send a test email.
Want to sync a different address? Select Change Email (3) instead of Remove Account, enter the new address and follow the prompts.
Best practices
- Sync the email address your clients already know you by.
- Always allow both permissions when you connect.
- Re-sync straight away after you change your email password.
- Send a test email after connecting or re-syncing.
- Check your profile regularly for the This e-mail is currently in sync. message.
Frequently asked questions
I can't see the email toggle on my profile. Make sure you're on Profile (not Settings) and look under Contact Information on the right. If it still isn't there, contact Effi Support.
My emails have stopped sending or syncing. This usually happens after a password change or if access was removed in your email account. Follow Step 4 to re-sync.
I connected my email but it isn't working. You may not have allowed both permissions. Re-sync (Step 4) and make sure you allow Effi to see your contacts and send emails on your behalf.
Will syncing my email affect anyone else in my business? No. Each person's email sync is separate and only affects emails sent from their own login.
